Chalice is home to a wide range of creative pursuits, and our venue bookings reflect the Four Pillars of Chalice: Spirituality, Justice, Sustainability and Creativity. All Expressions of Interest are considered by the planning group before a firm booking is made. Please read through the Bookings Pack (below) before filling out an Expression of Interest and sending it to firstname.lastname@example.org. Chalice Venues for Hire
This sacred space is much loved by our community. It has a ‘special kind of energy’ and amazing acoustics. The church seats up to 200 people on wooden pews and is great for chanting, singing, and special ‘quieter’ performances. There are an extra 40 chairs which can be added to the seating, and cushions for the floor if more informal seating is needed. There is a small kitchenette with mugs, electric hotplate, sink, and urn. There is a table for front of house, and a table for the service of tea/coffee plus 4 trestle tables.
The capacity of the hall is 250–300 people. There are approximately 130 blue plastic seats, and another 45 assorted chairs in the equipment room. The hall is 19m long by 12m wide with a kitchen with mugs, refrigerator, stove available for heating food, microwave, sink, and urn. Limited rear access is available from Eastment St. There are 12 staging units (2m x 1m) in the equipment room which have a variety of legs and can be used as additional tables and/or a stage. There are 4 trestle tables in the hall, and a kitchen-type table available.
Please Note: Due to the extremely worn condition of the Hall floor, we are not able to accommodate movement-based floor activities for the time being (i.e. yoga, barefoot dance, physical theatre, etc). We are investigating options for repair, so we hope to be able to open it up to such groups again in 2016.
The courtyard area includes a stage (without cover), limited café-style seating and access to power. The courtyard can be booked either in conjunction with your event or for separate activities depending upon both the normal operating hours of the courtyard café, and other church or hall bookings. Prices available on application.
This is the stage area out the front of the church. It can be used for low-volume acoustic performances or presentations. Due consideration must be made for High Street traders, and no activity should restrict their regular trade. Any hirers planning events with loud instruments will need to liaise with surrounding businesses to ensure that they are aware of your event, and will not be negatively impacted. There is access to power in the forecourt.
Eastment Studios – “The Nest”
Eastment Studios are a creative hub for writers and artists who need time and space away from home to devote to their creative practices. Many of our artists work at Chalice one or two days a week. For hire costs and availability please contact the office.
This space provides much needed parking for residents and businesses near Chalice. While Chalice encourages sustainable modes of transport, we are able to provide permanent parking spaces for a few local vehicles. Some Boring but Important things for Hirers to know:
Confirmation of Booking
While every effort is made to accommodate a wide variety of events at Chalice, confirmed bookings can’t be made until all aspects of planning have been covered. Your booking is not considered firm until a non-refundable deposit of $50 has been made. Your deposit will be credited against your hire fee.
Your Bond and Hire Fee need to be paid a minimum of 48 hours before your event. The office does not have EFT facilities but cash, cheque or bank transfer are possible payment options.
To make a bank transfer to Chalice please use this account: Northcote Uniting Church BSB 033-067 Acc No 13-5410 and send an email confirming your transfer to firstname.lastname@example.org
Our hire fees and charges are designed to foster the creative life of High Street Northcote and surrounds. Should you feel that you are able to contribute more than the invoiced amount, we welcome any donations. All donations are put to use maintaining these historic spaces.
Cancellation of bookings for public events need a minimum of 48 hours’ notice. The $50 deposit is not refundable. Cancellations made within 48 hours will be charged 50% of the hire fee.
Staying in Touch with Chalice
Our office is not staffed all day, every day, so email is our most effective way of keeping track of a booking process. Save yourself a headache by booking in a meeting with staff for key pickup/bond payment/walk-through and signatures well in advance of your event.
Our spaces are at a premium, so please do not expect to be able to store your materials for your workshops on site between events. Please discuss this with the office if needed.
Chalice staff will most likely not be on site when you hold your event. You will need to collect (and return) a key, and manage your own set up and clean up for your event. Excess rubbish must be removed from site. Anything more than a small bag of litter should be taken away by you. If Chalice needs to clean after your event this will attract a premium of $25 per hour of cleaning from your bond.
Care of Chalice Spaces
Every hirer must read and sign the Conditions of Hire form when collecting their key and paying their bond. If you are the key holder it is your responsibility to communicate clearly to all members of your group the conditions of hire for using the space, including noise and alcohol restrictions, cleaning, furniture placement, waste removal and reporting of damage.
There is to be no alcohol consumed in the Church space at any time
There is no smoking inside any Chalice space.
Chalice does not provide venues for parties. Wedding services and wedding receptions are only possible if the wedding is solemnised by the Chalice minister.
Legal Nitty Gritty It is the responsibility of hirers to ensure legal requirements are met and any necessary permits are sought for the provision of food or alcohol, including RSA and compliance with APRA requirements.
Insurance You must hold public liability insurance, and provide Chalice with a copy of your Certificate of Currency (by email is fine) prior to your event.
All electrical equipment must be tested and tagged prior to use at Chalice. Chalice is not able to hire out PA or extra lighting. Hirers are liable for any damage that occurs due to faulty equipment.
Please be mindful that Chalice spaces are often open to the public and you will need to take steps to protect your valuables. Please ensure that fundraising cash and other easily portable items are taken care of at all times so you have a successful event.
Parking in the Eastment Street Car Park may not be available to hirers. Please don’t block Eastment Street when bumping in/out. Remind your patrons that the 86 tram, South Morang train and the 567 bus are all within a short walk. The closest public car park is behind the Northcote Social Club.
All musicians performing at Chalice need to register their event with APRA. If you are performing songs which are not your own work, or using music in your performance, you are required to register with www.apraamcos.com.au. APRA Live Performance Returns are due to APRA before July 31 each year.
Any breakage, damage or issue with the space and facilities must be communicated immediately to the Chalice Office. Breakages need to be paid for by the hirer. There is a current emergency contact number on the board at the front of the church.
If you have further enquiries please contact our office. Chalice Office is usually staffed 9-12, Mondays to Thursdays. Email is often the best way to get in touch.
